You will be a key player on the marketing team to ensure all rollouts are organized and arrive in a timely manner. You are self-sufficient, organized, and a team player. You will manage partnerships with Portillo’s retail and production vendors, and work alongside many teams within the organization to meet their marketing needs. CORE RESPONSIBILITIES

Family:
- Act as the primary liaison between restaurants and internal teams, ensuring seamless communication regarding ad-hoc needs, signage updates, tracking information, and rollout schedules.
- Provide comprehensive marketing updates for field communications, ensuring timely and accurate dissemination of key information.
- Lead and facilitate weekly update meetings with the Production warehouse and Portillo’s team, ensuring alignment and tracking of project milestones.
Greatness:
- Oversee and manage the end-to-end process of print and digital graphic design production, from proofing and delivery to archiving. This includes managing projects across merchandising, email, web, advertising, packaging, social media, field marketing, and internal communications materials.
- Manage and nurture vendor relationships, specifically with NPN, ensuring timely execution of all new restaurant initiatives, in-restaurant seasonal merchandising, and the production of new items.
- Maintain and optimize in-restaurant merchandising and swag inventory, ensuring alignment with brand standards and operational needs.
- Drive the execution of in-restaurant merchandising rollouts, including asset versioning (both print and digital), coordinating production, managing budgets, and adhering to timelines.
- Oversee and manage the coordination of New Restaurant Opening (NRO) material shipments, ensuring timely and accurate deliveries.
- Review and approve invoices for retail and production vendors, ensuring financial accuracy and adherence to budget.
Energy:
- Manage and organize Portillo’s internal digital asset library, ensuring all photos and videos are accurately tagged with metadata for easy retrieval and future use.
- Serve as the primary point of contact for all digital menu board updates, collaborating with the vendor and internal IT teams to ensure content is current and relevant.
- Oversee the digital menu board content calendar, ensuring that updates and requests from field teams are promptly addressed and aligned with marketing initiatives.
- Lead the management of marquee sign requests and quarterly updates, ensuring consistent brand messaging across locations.
Fun:
- Coordinate Portillo’s mascot’s calendar, ensuring proper maintenance, cleaning, and timely appearances as part of the brand’s promotional efforts.
- Manage the coordination and shipment of Top Dog guest packages and media kits, ensuring timely delivery and enhancing customer engagement.
- Oversee the scheduling and coordination of videography and photography for New Restaurant Openings (NROs), ensuring content aligns with brand goals and marketing needs.
- Coordinate Grab & Go category needs for NROs, ensuring a seamless launch and integration into restaurant operations.
- Manage and update Grab & Go pricing labels and planograms, ensuring alignment with current offerings and ensuring clear communication with restaurants.
- Other responsibilities assigned by Sr. Brand Design Manager
ORGANIZATION RELATIONSHIPS
This position reports to the Sr. Brand Design Manager. The position has no direct reports but may occasionally coordinate and hire sub-contracted workers for special occasions, events, and additional support. The Marketing Coordinator regularly interacts with our Guests, Team Members, Operations, Marketing, HR & Recruiting, and third-party vendors.
QUALIFICATIONS
Educational Level/Certifications
Bachelor’s degree in marketing, Communications, PR, or similar.
Work Experience, Qualifications, Knowledge, Skills, Abilities
- 2+ years professional experience in production coordination, event planning, or logistics.
- Expertise in Adobe Creative Suite required
- Proficient in Microsoft programs including Excel, Adobe Acrobat, Adobe Creative Suite.
- Ability to thrive in a fast-paced environment
- Able to execute projects independently from start to finish
- Exceptional communication and management skills
- Proven self-starter who sets aggressive plans and consistently meets the challenge.
- A creative spirit with an organized mindset.
- A desire for constant improvement and continued learning in the field of marketing.
- Previous work experience in retail or restaurants is desired
