The Executive Sales Administrator is responsible for providing daily administrative, project management, and analytical support to the Executive Partner of Sales as well as the 6 Market Partners of Sales. The Executive Sales Administrator acts as the liaison between the market-based Sales Team members and the Executive office. The Executive Sales Administrator proactively provides reports, analytics, and trends to Sales Leadership team to facilitate quick and efficient strategic decisions. The Executive Sales Administrator must have good problem-solving skills and must be proficient at process improvement.
Responsibilities
Data Analytics, Reports, Summaries and Presentation of Materials:
- Gathers, prepares and formats data and reports into an easy to present format for the Executive Partner of Sales.
- Review Unsold Showcase Report and Reduce prices and communicate to MP, BIC and MLS Admin
- Generates and reviews for accuracy various sales reports on a weekly, monthly, quarterly, and annual basis and provides to the Market Partners, Executive Partner – Sales, and Executive Team as needed
- Acts as a liaison between the Executive Partner of Sales and the Enterprise Technology Services team to ensure reports are accurate and informative
- Maintains and Updates Sales Information Portal in Sharepoint
- Review and Maintain Sales Reports Portal in Sharepoint
- Maintains database in Sales System with all Sales Department documents and ensures confidentiality and that they are accurate and up to date
- Liaison between Sales Leadership and ETS Project Manager on updates, troubleshooting sales systems
- Trinity- Budgets, Quick Assign
- Broker Dashboard
- Sales Commission Dashboard and Trinity Interface
Managing Model Checklist
- Weekly meeting with Mps and CS Team to ensure all model grand opening details are accounted for
Execute MP Flight Room Meeting Monthly

- Partner Path Milestones and Dates
- IST/TA Traffic discrepancies
- Overdue Showcase
Travel And Event Planning - Plans and executes with travel agent, the following events:
- Sales Kick off
- Annual Sales Trip
- Book hotel reservations for Core Trainees
- Order shirts for new hires
Create, Manage And Administer Sales Contest Company Wide
- Create Calendar of monthly Sales Incentive Contests
- Manage the winners and payout
- Create communication and promotion of Sales Incentives
Marketing Administrative Support
- Maintains all sales team Real Estate license cards to ensure all are up to date and organize each by region
- Enters and Maintains all Sales Budgets within Trinity- TA, Community, Broker, Traffic Etc.
- Executes Amazon orders for sales
- Provide Support in ordering ScentAir for new models, ScentSticks for closings and candles for contracts.
- Execute orders business cards and nametags
- Execute orders for standard swag and supporting the swag store.
Results/Accountability
- Ensures all reports are delivered on time and accurately
- Meets all deadlines as requested by Executive Team
Qualifications
- Associates degree in business, administration, or related field required, bachelor’s degree preferred
- Three to five years of administrative experience supporting executives required
- Proficiency in Word, Excel, and Outlook
- Structured Query Language (SQL) and report writing experience preferred
