Marketing Assistant Job Description

Our Marketing Assistant will work with the team across multiple functions of our business, including administrative, company marketing and client work. The right candidate will learn the foundations of the business internally while also allocating time to service existing client-based programs. The Marketing Assistant is responsible for the support and coordination of our organization's day-to-day marketing and communications needs, while also supporting our marketing programs. The Marketing Assistant is responsible for keeping a consistent pulse on culture as it relates to brands and lifestyle verticals from Music & Entertainment and Fashion to Talent and key cultural moments by leading the development of quarterly trend and culture reports.
The candidate must possess strong written and verbal skills, attention to detail, impeccable
follow-up skills with a genuine interest in Brand Marketing, Music, Media, and Entertainment. A self-starter who takes initiative and maintains a level of professionalism in a high-paced environment, this individual is an excellent listener who takes pride in learning from surrounding experiences, is highly organized with superior time management skills, and has the ability to take action. The Marketing Assistant will act as the “right hand” to the Co-Founders on all of the company’s existing priorities.
Key Responsibilities
- Administrative
- Executive Assistant to the Co-Founders
- Manage Co-Founders calendars, including: scheduling meetings, sending out invitations and setting up conference calls
- Assist in the coordination and booking of company travel
- Assist in financial processes (i.e. Billing, invoicing, deposits, expense tracking)
- Manage internal and external recurring meeting invites for the company, liaising with external agency partners and clients on schedules as needed
- Assist in any print, shipping, or asset coordination when needed
- Maintain all internal databases - clients, vendors, talent, brands
- Organize and manage team agendas, both internal and external
- Record notes and capture action items to circulate to the team following both internal and external calls
- Assist Co-Founders with onboarding new employees (i.e. creation of onboarding agendas, scheduling onboarding meetings, new employee asset securement, updating onboarding documents)
- Coordinate and keep track of company-wide certification and training initiatives in accordance with client requirements and industry standards
- Manage company software, training programs, and subscriptions for maximum employee benefit and optimal operations
- Office Management Duties include: Liaising with building management, coordinating cleaning services, weekly F&B orders, plant maintenance, paying monthly bills, office organization and decoration, etc.
- Marketing
- Lead quarterly trend reports across competitor, brand and industry categories to keep the company and clients informed on culture, talent partnerships, industry trends, and more
- Assist in the creation and proofing of marketing materials in conjunction with client pitches and outreach (pitch decks, talent sheets, meeting agendas and recaps, etc.)
- Assist Project Management team as needed on ad-hoc project tasks including client status reports, agendas, vendor management communications, event planning, and production-related tasks
- Management of company storage unit; owning inventory management and organizational process
- Website & Social Media:
- Work with Creative team and Web Design to help keep Brand New website updated on a monthly basis
- Help build and track performance of social media strategy across company’s Facebook, Instagram, LinkedIn platforms
- New Business
- Assist with new business prospecting by conducting market research, identifying potential opportunities, and contributing to the development of pitching materials to support agency growth initiatives.
- General
- General willingness and ability to travel and be on-site for support of events, shoots, and remote projects as needed
- Assist Co-Founders with personal tasks on a weekly basis, as needed
- Lead efforts on Client & Company gifting initiatives etc.
Qualifications
- At least one to two years of experience in an administrative or marketing-focused roleBachelor’s degree in Marketing, Business, Communications, or related field
- Administration or Sales/Marketing experience
- Excellent written and verbal communication skills
- Superior level of attention to detail
- Professional, charismatic, positive personality
- Ability to work independently and/or with a team
- High level of organizational skills
- Experience with Microsoft Office, Adobe, and MacOS operating systems and platform
Compensation & Benefits:
- Salary Range: $65,000K+/annually (not including additional compensation opportunities such as performance or merit-based increases, project bonuses, etc.)
