Event Coordinator

*This position is a hybrid role that will require you to sit in our Corporate off In Dunedin a few times a week. There is also the expectation to work nights and weekends when events are being held.
Position Summary
The Events Coordinator promotes and maintains the public image of the credit union within the community by planning, coordinating and executing credit union events that strengthen member engagement, community presence and brand awareness. The role provides support on departmental and cross-functional projects ensuring initiatives are delivered on time, within scope and aligned with the credit union’s mission and values.
Key Responsibilities
Event Planning & Execution
- Plan, organize and execute internal and external events, including community partnerships, member appreciation events, and financial education workshops.
- Develop event timelines, run-of-show documents, and post-event reports.
- Represent the credit union at community events with professionalism and enthusiasm.
- Collaborate across departments and with external partners to plan events.
- Work with Market Presidents and Branch Development Manager to staff events.
- Maintain a standardized template to ensure consistent executed events across all markets. Including documenting event planning steps, timelines, checklists, branding requirements, and follow up processes.
Event Logistics & Operations
- Coordinate logistics such as venue selection, catering, vendor management, décor, transportation and staffing.
- Work within budgets and find innovate solutions to make events impactful.
- Address last-minute changes or unexpected event needs, calmly.
- Track event budgets, invoices, and expenses, ensuring cost-effective planning and execution.
- Manage and maintain the marketing storage room and annex.
Marketing & Brand Alignment
- Work with marketing team to ensure event promotions align with brand standards and communication strategies.
- Bring excitement and passion to events, making them memorable to members, partners, and staff.
Project Coordination & Administration
- Assist with project planning, scheduling, and implementation across departments.
- Monitor progress, update stakeholders, and help ensure meeting project deliverables.
- Coordinate project-related meetings, prepare agendas, and distribute notes.
- Provide administrative and logistical support for credit union initiatives such as product launches, branch openings, or community programs.
- Maintain accurate records, project trackers, and reporting tools.
Organizational Engagement
- Participate in annual training or as required by BSA and the Privacy Act.
- Perform other essential functions as needed or assigned.
- Travel will be required to attend community and branch events.
- Work flexible hours including evenings, weekends or holidays as needed to attend events and meet member/ business demands.
Requirements
Education and Experience
- High school diploma, GED or equivalent. Associated degree preferred.
- 2+ years’ experience in event coordination, project coordination, or related role.
- 1-2 years’ experience with project management.
Certifications/ Licenses
- Must have a valid Florida driver’s license and pass a background check.
Skills and Attributes
- Strong organizational and multitasking skills with attention to detail.
- Ability to work independently, as well as collaboratively in a team environment.
- Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Adobe Suite; experience with project management tools (Asana, etc.) a plus.
- Flexibility to work evenings, weekends and holidays as needed for events.
- Passion for community engagement and alignment with credit union values.
- Comfort and ability to drive a van or U-hall.
- Demonstrated ability to take initiative, meet deadlines and follow through with high accountability.

Physical Demands & Work Environment

This role operates primarily operates in-person in an office environment with frequent travel to local branches, community events and vendor locations. The role routinely uses standard office equipment such as computers, phones, and virtual meeting platforms. The employee must be able communicate effectively via phone, video, and electronic messaging. This position may require extended periods of sitting or standing. Must be able to lift up to 50 pounds and stand for extended periods during event set up and execution. Must be able to work outside at times of extreme heat or cold.
