Marketing Operations Coordinator
Join our dynamic team as a Marketing Operations Coordinator, where you will play a vital role in supporting marketing initiatives for a portfolio of ophthalmology pharmaceutical products. This position combines marketing operations, project management, and administrative responsibilities to ensure that our marketing programs are executed efficiently, compliantly, and on schedule.
The ideal candidate is highly organized, detail-oriented, and enthusiastic about growing into a more strategic marketing role. You will leverage hands-on experience with AI tools and automation to enhance productivity, streamline processes, and improve workflows in a regulated pharmaceutical environment.
Key Responsibilities
- Marketing Operations & Administrative Support:
- Coordinate and manage all marketing-related contracts, including vendor agreements, agency statements of work, consulting agreements, and speaker documentation, ensuring alignment with legal, compliance, and procurement requirements.
- Track contract status, approvals, renewals, and budgets to ensure timely execution and accurate documentation.
- Act as a key liaison among marketing, legal, compliance, procurement, finance, and external vendors.
- Maintain organized records for all marketing activities, approvals, and documentation while adhering to pharmaceutical regulatory standards.
- Provide vital administrative support to marketing and sales leaders, including expense management, travel coordination, and meeting logistics.
- Project Management:
- Assist in the planning and execution of various marketing projects, including campaigns, product launches, congress activities, promotional materials, and digital initiatives.
- Develop and maintain comprehensive project timelines, task lists, and status updates to ensure deadlines are met.
- Coordinate cross-functional stakeholders and external partners to facilitate efficient project progress.
- Identify potential risks and bottlenecks in processes and proactively propose effective solutions.
- Marketing Execution Support:
- Support the development and review of marketing materials, including promotional assets and digital content, following internal review processes.
- Assist in organizing meetings, training sessions, advisory boards, and congress logistics.
- Track key deliverables, milestones, and maintain post-project documentation.
- AI & Process Improvement:
- Utilize AI-powered tools to enhance productivity, streamline reporting, and coordinate projects effectively.
- Identify opportunities to optimize marketing workflows using AI and automation while ensuring compliance.
- Collaborate with marketing leadership to pilot new tools that enhance efficiency and scalability.
- Professional Development:
- Actively grow your marketing knowledge in brand strategy, market dynamics, and customer engagement within the ophthalmology sector.
- Pursue opportunities to take on greater responsibility in campaign planning, analysis, and strategic support.
- Stay informed on pharmaceutical marketing best practices, compliance standards, and emerging AI capabilities.
Qualifications
- Bachelor's degree in Marketing, Business, Life Sciences, Communications, or a related field.
- 1-3 years of experience in marketing coordination, project management, marketing operations, or administrative roles, preferably in pharmaceuticals, healthcare, or a regulated industry.
- Experience managing contracts and documentation is essential.
- Proven ability to manage multiple projects simultaneously with a strong attention to detail.
- Hands-on experience with AI tools to enhance efficiency and organization is required.
- Excellent communication and collaboration skills.
- Previous experience in pharmaceutical, biotech, medical device, or ophthalmology-related marketing is preferred.
- Familiarity with promotional review processes (PRC/MLR), compliance standards, and vendor management is an advantage.
- A desire to evolve into a marketing strategist, brand marketer, or product marketer role is desirable.
