Role Overview

We are looking for a Senior Creative Operations and Project Manager to lead the workflow, process, and operational backbone of our Marketing and Creative team. This is a senior role responsible for overseeing the full lifecycle of creative and marketing projects, ensuring quality output, clear alignment, and smooth cross-functional collaboration. This position manages key marketing and creative projects as well as budget oversight, vendor management, marketing resource allocation, facilities oversight and more.

This role reports jointly into the Creative Director and Growth Director at Sniffies. It oversees work both within the Creative Team as well as outwardly to a rotating roster of freelancers. A strong understanding of GBTQ+ community is essential for understanding the work and context.

Responsibilities

Creative Project Leadership

  • Lead end-to-end planning, resourcing, execution, and delivery of all creative and marketing projects across multiple workstreams, balancing organizational priorities with creative excellence.
  • Establish and refine operational processes—including briefing, reviews, approvals, and creative resourcing within Notion.
  • Track all timelines, budgets, deliverables, and cross-team dependencies with accuracy, ensuring transparency across stakeholders.
  • Partner with leadership to drive marketing initiatives from concept to execution, keeping teams aligned, informed, and unblocked.

Marketing Operations and Budget Ownership

  • Oversee budget allocation across campaigns, vendors, production partners, and creative resources.
  • Maintain financial clarity for leadership by providing routine reporting on spend, variances, and upcoming financial needs.
  • Ensure all vendor agreements, scopes, and invoices meet Sniffies legal and financial requirements.

Production and Vendor Management

  • Coordinate production timelines, schedules, and resources for shoots, merchandising projects, and creative asset builds.
  • Maintain close communication with external vendors, production partners, printers, and fabricators.
  • Own procurement, logistics, and delivery timelines to ensure operational smoothness and cost efficiency.
  • Troubleshoot production challenges with practical solutions that maintain quality and speed.

Departmental Operations

  • Own and maintain operational systems for documentation, compliance, contract processing, and cross-team workflow.
  • Manage Day-to-day budget management in line with projection, including budget planning, spend tracking, forecasting, and reconciliation.
  • Partner with operations leadership to ensure all creators and vendors have the correct documentation, agreements, and approvals.
  • Keep processes organized, accessible, and usable for teams across the company.
  • Identify operational gaps and propose smart, workable solutions that move the department forward.

Qualifications

  • Experience using Notion, Google Workspace, Microsoft Suite (especially Excel), Miro, AI platforms, and data asset management systems like Frontify.
  • Strong understanding of the creative process for the development of all types of assets, platforms and systems.
  • Strong communication and writing skills with the ability to work across departments and maintain clarity under pressure as well as leading team meetings.
  • Ability to manage capacity and resources across multiple creative workstreams.
  • Experience managing production schedules, procurement, and freelance management.
  • Strong organizational instincts with a sharp eye for detail.
  • Ability to juggle shifting priorities while keeping standards high and timelines intact.
  • Self-driven, solutions-oriented, and reliable in a fast-paced creative environment.
