Job Type: Full-Time, Salaried Position; Full-time, 40 hrs/5 days/week, hours may fall outside the 'normal' working hours, some hours on weekends and evenings to coincide with events are part of expectations of the role.
Compensation: $55,000-$75,000 per year
Benefits: The Marketing Coordinator is eligible for all company benefits (Medical, Dental, 401k, PTO etc). This position will be compensated for mileage accrued on a personal vehicle during work related transportation.
Position Summary: The Marketing Coordinator provides creative, administrative, and logistical support to help execute marketing initiatives across NorthStar VETS. This role focuses heavily on content creation, design, event support, and referral community engagement, helping ensure that marketing activities are consistent, on-brand, and aligned with organizational priorities. Working closely with the Marketing Manager, the Coordinator contributes to social media, email campaigns, referral outreach materials, internal communications, and event execution. This position also assists with maintaining marketing dashboards, tracking inventory, supporting the targeted marketing program, culture initiatives, and helping strengthen communication between NorthStar VETS and the referring veterinary community. Additional marketing support for future hospitals may be needed.
This is a highly collaborative, hands-on role ideal for someone organized, creative, detail-oriented, and excited to support a fast-paced specialty & emergency veterinary hospital environment.
Key Responsibilities
Design & Creative Production
· Design marketing assets for social media, email newsletters, printed materials, referral packets, event signage, presentations, and internal communications.
· Draft social media captions, take photos/videos during on-site activities, and maintain a library of images and creative assets.
· Update existing design templates and ensure accuracy, consistency, and brand alignment in all final materials.
· Assist with layout and formatting for printed collateral and digital campaigns
Administrative & Project Support
· Assist Marketing Manager with targeted marketing program initiatives
· Support management of marketing calendars, timelines, project boards, and task lists.
· Coordinate with vendors, printers, and other external partners to ensure timely delivery of materials.
· Order, track, organize, and replenish marketing inventory (swag, brochures, signage, event materials).
· Assist with budget tracking, organizing receipts, and managing invoices for marketing-related expenses.
Referral & Event Support
· Assist in planning and executing continuing education (CE) events (ex: Social VETworking), community events, and lunch & learns for referral practices.
· Prepare referral packets, swag bags, educational materials, and event kits for distribution
· Manage RSVPs, registration lists, communication, and event follow-up.
· Support on-site setup, breakdown, check-in, photography, and day-of event coordination.
· Help maintain communication and positive relationships with referral hospitals through consistent support materials and follow-up.
Practice Visits & Referral Community Support
· Participate in scheduled visits to referring veterinary practices to deliver referral packets, updated materials, swag items, and event invitations to partner hospitals as needed.
· Assist with gathering feedback from referring practices to help improve communication and relationship-building efforts.
· Capture notes, trends, and follow-up items from visits to support ongoing outreach.
Internal Communications & Culture Support
· Create internal flyers, digital announcements, and promotional materials for culture programs, staff events, and internal initiatives.
· Support company-wide engagement initiatives such as holiday events, employee appreciation programs, and culture campaigns.
· Assist with internal messaging logistics such as emails, newsletters, and print distribution.
· Help maintain consistency across internal communication channels.
Qualifications
· 1–3 years of experience in marketing, communications, graphic design, or related field (veterinary or healthcare experience a plus but not required).
· Proficiency in Canva (required); familiarity with Adobe Creative Suite is a plus.
· Strong understanding of social media platforms and digital content creation.
· Excellent organization, communication, and multitasking skills.
· Ability to work both independently and collaboratively in a fast-paced environment.
· Comfortable capturing photos/video on-site.
· Ability to work on-site at multiple NorthStar VETS locations as needed.
· Valid driver’s license and reliable transportation.

Work Environment & Activity Level
· This position primarily operates in a professional office environment with frequent computer and desk work.
· Role may require periodic travel to various hospital locations, community events, or marketing activities.
Physical Demands
· Prolonged periods of sitting at a desk and working on a computer (up to 6–8 hours per day).
· Frequent standing and walking, particularly when assisting with events, photoshoots, or onsite marketing visits.
· Occasional lifting, carrying, or moving items such as marketing materials, boxes, signage, or equipment up to 20–25 lbs.
· Manual dexterity required for computer use, handling printed materials, and operating cameras or light equipment.
· Visual acuity to review digital content, printed materials, graphics, and data on screens.
· Hearing and speaking ability to participate in meetings, conduct interviews, communicate with team members, vendors, and staff across multiple locations.
· Ability to bend, stoop, reach, or kneel occasionally when setting up displays, signage, or event materials.
· Ability to drive between locations as needed for marketing tasks, community outreach events, or content creation.
Cognitive & Environmental Requirements
· Ability to maintain focus and attention to detail for extended periods while working on digital content, analytics, or creative materials.
· Ability to manage fast-paced or shifting priorities during events, campaigns, or hospital visits.
· Comfortable working both independently and in busy clinical environments, such as waiting rooms or treatment areas, when capturing photos or gathering information.
