Overview

We are seeking a dynamic and organized individual to join our team as a Dual Role: Marketing & Event Coordinator / Front Desk Assistant. This versatile position combines responsibilities in marketing, event planning, and front desk operations to support our organization’s growth and daily functions. The ideal candidate is highly organized, proactive and relationship driven . This role supports the growth of our dental practice and focuses on increasing referrals from other dentists, attracting new patients and managing all aspects of our self-hosted study club evens for dentists.

Study Club Event Coordination (for Dentists)

Plan and manage all aspects of our in-house study club events — including scheduling, invitations, registration, catering, materials, CE credit administration, and post-event follow-up. Create and distribute promotional materials (flyers, emails, RSVPs), manage vendor coordination, and ensure smooth day-of execution (set-up, check-in, CE tracking, and cleanup). Collect attendee feedback, issue CE certificates, and prepare post-event reports. Maintain the study club calendar and collaborate with staff and speakers on logistics and agendas.

Marketing Support

Design and execute marketing materials and campaigns (flyers, emails, digital graphics, website/social posts) to promote events and referral programs. Track and analyze performance metrics such as attendance, referrals, and engagement. Coordinate vendors and maintain organized records of marketing assets, budgets, and post-event documentation.

Qualifications & Skills

· Prior experience (1-3 years) in marketing and/or event coordination (preferably within service-oriented or professional-services environments).

· Excellent written and verbal communication skills, including phone outreach and follow-up calls.

· Strong organizational skills with attention to detail; ability to manage multiple projects simultaneously and meet deadlines.

· Comfortable with event logistics: coordinating vendors, catering, registration, on-site setup and breakdown.

· Proficient in Microsoft Office (Word, Excel, PowerPoint) and comfortable with email marketing tools / CRM systems and design software (or working with designers) for flyers/promotional materials.

· Aptitude for building professional relationships — friendly yet professional demeanor, ability to engage dentists and dental teams.

· Analytical mindset: able to track metrics, interpret results, and recommend improvements.

· Self-motivated, proactive, with a “can-do” attitude and ability to work both independently and collaboratively.

Preferred (but not required)

· Experience within a dental or healthcare practice, or familiarity with CE credit administration and professional-educational events.

· Basic design skills (e.g., Canva, Adobe InDesign) or ability to coordinate with a designer.

· Experience with email marketing platforms (Mailchimp, Constant Contact, etc.) and CRM systems.

· Familiarity with continuing education (CE) credit process for dental professionals.

· Some travel/shuttle to dentist offices for referral outreach or event logistics as needed.

Job Type: Full-time

Pay: $25.00 per hour

Expected hours: 32 – 45 per week
